TEMPLATE: Your Essential Guide to Influencer Communication

Clear and consistent communication is essential for managing successful influencer campaigns.

This template provides a structured approach to communicating with influencers after they’ve been accepted into your campaign. It includes placeholders for custom campaign requirements, ensuring that your expectations are communicated effectively and timely.

Campaign Application Acceptance Communication Timeline

Day 1: Campaign Acceptance Confirmation

Message: "Hi [influencer name], congratulations! You've officially been accepted for our campaign, and we’re thrilled to partner with you. We can’t wait to see the amazing content you’ll create. Before we get started, there are a few key details we’d like to go over:

  • Custom Requirement 1: [Insert specific campaign requirement, e.g., "Please submit a draft of your content within the next 7 days for our review."]
  • Custom Requirement 2: [Insert additional requirement, e.g., "You will need to include the following hashtag in your posts: #BrandCampaign2024."]
  • Custom Requirement 3: [Insert another requirement, e.g., "Please tag our official brand account in your posts: @BrandNameOfficial."]

Remember, you’ll have [x] days to submit your final content for approval and post it to your social platform. If you have any questions or need further clarification on the requirements, don’t hesitate to reach out!"

You might be thinking - why am I doing this? Can’t the influencer just read the contract they signed that has all these details? 

This is your chance to introduce your brand and get them excited to be working with you. They’ve read all the details, but - hey - they are busy and are likely juggling other brand deals and life responsibilities. Why not make it as easy as possible for them to give you want you want - which is great content and reach that best positions your brand. 

Day 3: Follow-Up Message #1

Message: "Hi [influencer name], just following up on my previous message! We’re eager to move forward with this collaboration. Please confirm that you’re on track with the campaign requirements. Remember that the deadline to submit content for approval is X and the deadline for posting is Y. If you have any questions or need assistance, let us know. Thanks!"

Staying top-of-mind for the influencer means that they are more likely to prioritize your deal above all the deals in the queue. Keeping this stage casual will encourage the influencer to reach out to you if they have any problems, such as a question about how to best use or position your product, or if they are having problems accessing a service or scheduling an in-person experience, depending on the campaign requirements. 

Day 5: Follow-Up Message #2 – Payment Forfeiture Notification

Message: "Hi [influencer name], it’s important that we hear from you soon. If we don’t receive a response within the next 2 days, we’ll need to cancel this collaboration due to non-completion of the campaign requirements. This could affect your payment and future opportunities with other brands through Lionize. Non-completion is a violation of the contract (view your contract here: [insert contract link]) and may impact your eligibility for future paid collaborations. We’d love to avoid this, so please get in touch so we can proceed together!"

At this stage hopefully, all your influencers have been responsive. If not, the influencer may be dealing with life emergencies, on vacation, or simply busy. This is the stage where the tone of your message should shift slightly to remind the influencer of the responsibilities they’ve agreed to. Both parties should want to avoid this. Remember to remind them how excited you are are work with them! 

Day 7: Removal from Campaign

Message: "Hi [influencer name], since we haven’t heard from you and the campaign requirements have not been met, we regret to inform you that we are unable to move forward with this collaboration. We’ll be removing you from the campaign. We’re sorry this partnership didn’t work out, and we’ve reported your non-completion to Lionize. They will be in touch with you regarding the implications. If you have any questions or concerns, please don’t hesitate to reach out."

An unfortunate reality in the influencer marketing world is that not every influencer is going to be the best fit for your brand, and even perfect fits for your brand may not have the timing right. If you’ve selected an influencer and they are completely unresponsive at this stage, we should simply remove them from the campaign and move on with other influencers that are in your queue. 

If this happens to you, reach out to partners@lionize.ai or tag your CSM in the Team Notes section and request that this specific influencer be removed from your campaign. 

A Note on Custom Campaign Requirements

Custom campaign requirements are set up in the Campaign Builder and detailed in the influencers’ contracts. But it never hurts to reinforce those requirements in your more casual communications via the Inbox feature. 

  • Content Submission Deadlines: Set specific dates for when drafts or final content should be submitted.
  • Creative Guidelines: Provide guidelines on content style, tone, and themes to ensure it aligns with your brand.
  • Hashtags and Mentions: Specify the hashtags, mentions, or tags that must be included in social media posts.
  • Promotion Codes or Link: Share the link to sign up for your affiliate program (if applicable) or share the individual codes or links they should include in their posts. 
  • Platform-Specific Requirements: Outline any requirements unique to the platform where the content will be posted, such as Instagram Stories swipe-up links or YouTube video descriptions.
  • Review and Approval Process: Detail how and when you’ll review content, including any feedback loops and revisions that may be necessary.
  • Content Exclusivity: Define any exclusivity terms, such as not promoting competing brands within a certain timeframe.

Where Do I Find A Specific Influencer’s Contract? 

You can always direct an influencer to their signed contract.

To share that with the influencer, go to the “Influencers” Tab, then “Accepted Influencers” then click in that influencer’s row so their left details panel pops out. 

Click “View Contract” 

A new window will open, which you can copy and paste the url to share it with the influencer.
